Projects

Projects represent discrete pieces of work for your clients. They connect clients, invoices, time tracking, contracts, and proposals together.

Projects List

The main page shows all your projects with key metrics. You can bulk-select and delete multiple projects using checkboxes.

Creating a Project

Click New Project to open the creation page. Fill in:

Field Required Description
Client Yes Select from your existing clients
Project Name Yes A descriptive name for the project
Status No Draft, Active, On Hold, Completed, or Cancelled (defaults to Draft)
Start Date No When work begins
End Date No Expected completion date
Budget Amount No Total project budget in your currency
Hourly Rate No Rate used when converting time entries to invoice line items. Pre-fills from your opportunity preferences if set
Currency No Defaults to GBP
Description No Details about the project scope

Auto-Created Projects

When you mark a proposal as won, FlowLance automatically creates a project with the proposal's value, client, and dates. A toast notification appears with a link to the new project.

Project Detail Page

The detail page has several tabs:

Overview Tab

  • Project details — Status, budget, description, dates, total invoiced, total paid
  • Client card — Link to the associated client
  • Proposal card — If the project was created from a won proposal, a link to that proposal
  • Invoices section — All invoices for this project with a quick "Add Invoice" button
  • Amendment banners — If the project is linked to a contract with unapplied amendments, a banner prompts you to sync the changes (updates budget and dates)

Tasks Tab

Project-specific tasks with inline creation. Create tasks directly from this tab to track work items.

Time Tab

All time logged against this project:

  • Profitability gauge — Visual indicator comparing billable time against the project budget
  • Time entries table — Every entry with date, description, hours, category, and billable status
  • Quick log form — Log time directly from this tab, pre-linked to the project
  • Category badges — Each time entry shows its category if assigned

Documents Tab

Upload and manage files associated with the project (scope documents, briefs, assets).

Contracts Tab

Contracts linked to this project. You can create a new contract or view existing ones. See the Contracts guide for details on the contract system.

Categories Tab

Create custom time categories for this project. Categories help you break down time by type of work (e.g., "Development", "Design", "Meetings"). When logging time against this project, these categories appear in the category dropdown.

Editing a Project

Click the edit button on the project detail page to update any field.

Deleting Projects

Delete from the actions menu on the detail page, or bulk-delete from the list view using checkboxes.

Project Profitability

The Time tab shows a profitability gauge that compares: - Billable hours x hourly rate against the project budget

This helps you see at a glance whether a project is on track financially or if you're over-servicing.
