Proposals

FlowLance helps you create, track, and send proposals to win new work. You can write proposals manually or use the AI proposal wizard to generate them from your professional profile and evidence.

Proposals List

The proposals page shows stats cards at the top:

Card Description
Total Proposals Number of proposals across all statuses
Pipeline Value Total value of proposals that are still active (not won or lost)
Awaiting Response Proposals with "sent" status waiting for client decision
Won This Year Revenue from proposals marked as won this year

Below the stats, proposals are shown as a table (desktop) or cards (mobile): - Title - Client name - Value - Probability (visual slider 0-100%) - Expected close date - Status badge

  • Templates — Manage proposal profile templates
  • AI Generate — Launch the AI proposal wizard
  • New Proposal — Create a proposal manually

Creating a Manual Proposal

Click New Proposal to open the creation form.

AI Proposal Generation

The AI proposal wizard creates tailored proposals using your profile, evidence (case studies, credentials, testimonials), and service modules. It's designed to produce proposals that sound like you, not generic templates.

How It Works

  1. Select a Profile — Choose which proposal profile template to use. If you have shared profiles from collaborators, you can toggle "Team proposal" to include their expertise
  2. Configure — Set the client, opportunity context, and any specific requirements
  3. Generate — AI creates a proposal draft using your profile's voice settings, expertise, relevant case studies, and service descriptions
  4. Review & Edit — Review the generated content, make any edits, and finalise

Profile Templates

Profile templates define the content the AI draws from when generating proposals. Each template includes:

  • Service modules — The services you want to highlight
  • Evidence — Case studies, credentials, and testimonials to reference
  • Voice settings — Tone and word preferences that shape the writing style

Manage templates from the Templates button on the proposals page, or from Profile > Manage Templates.

Team Proposals

If colleagues have shared their profiles with you (see Profile Sharing), you can create joint proposals that combine multiple people's expertise. Toggle "Team proposal" in the profile selection step to include shared profiles.

Proposal Status Workflow

Draft → Sent → Won
              → Lost
  • Draft — Proposal is being prepared
  • Sent — Proposal has been shared with the client
  • Won — Client accepted the proposal (automatically creates a project)
  • Lost — Client declined the proposal

Winning a Proposal

When you mark a proposal as won, FlowLance automatically: 1. Creates a new project linked to the client 2. Sets the project budget from the proposal value 3. Copies relevant dates 4. Shows a toast notification with a link to the new project

Sharing Proposals

You can share proposals with clients in two ways:

  • Email — Send the proposal directly via email
  • Share link — Generate a public, token-protected link that lets the client view the proposal without logging in

Proposal Actions

From any proposal, you can:

View Details Open the full proposal detail page
Edit Modify the proposal content
Change Status Mark as sent, won, lost, or revert to draft
Delete Remove the proposal (with confirmation)

Evidence Library

The evidence library stores reusable content that the AI draws from when generating proposals:

Case Studies

Project examples showing your work: - Project title and client - Description of the work - Outcomes and results - URL or images

Credentials

Certifications, degrees, and awards: - Title and issuing body - Date obtained - URL for verification

Testimonials

Client quotes and reviews: - Quote text - Client name and role - Project context

Manage evidence from the Evidence button on the proposals page, or navigate to it from your profile templates.

Service & Sector Modules

Modules define the services you offer and the industries you work in:

Services

  • Name (e.g., "Web Development", "UX Design")
  • Description of what the service covers
  • Rate estimate

Sectors

  • Industry name (e.g., "SaaS", "Healthcare")
  • Description of your experience in this sector
  • Linked case studies

Modules are used by the AI when generating proposals and by the fit scoring algorithm when evaluating opportunities.
