Contacts
Contacts represent individual people you work with — project managers, decision-makers, collaborators, and other key individuals across your client organisations.
Contacts List
The Contacts page shows all your contacts with their name, role, client, and warmth indicator. Use the search bar to find contacts by name.
Adding a Contact
Click Add Contact to create a new contact:
| Field | Required | Description |
|---|---|---|
| Name | Yes | The contact's full name |
| No | Their email address | |
| Phone | No | Phone number |
| Role | No | Their role or job title |
| Client | No | Link this contact to one of your clients |
| Notes | No | Any additional context about this person |
Client Linking
Each contact can be linked to a client. This helps you keep track of who belongs to which organisation. When you open a client's detail page, you'll see all their linked contacts.
Warmth Tracking
Contacts have a warmth indicator that reflects how active your relationship is. Warmth is influenced by interaction signals — recent communication, meetings, and collaboration. Warmer contacts are those you've been in touch with recently.
Importing Contacts
You can import contacts in bulk from a CSV file:
- Click Import on the Contacts page
- Upload your CSV file
- Map your columns to contact fields (name, email, phone, role, client name)
- Review the preview — FlowLance will automatically match client names to your existing clients
- If some client names don't match, you can create the missing clients automatically or skip those rows
- Import the contacts
This is the same import wizard used across FlowLance, so the experience is consistent with importing clients, projects, and invoices.
